Exhibiting in UAE: venues, fairs and stand rules

Short answer: The UAE's main exhibition venues are Dubai World Trade Centre, the Dubai Exhibition Centre at Expo City Dubai (both run by DWTC) and ADNEC Centre Abu Dhabi. Double-deck and unusual stands at DWTC must be approved by the venue's structural engineer, materials must be fire retardant, and rigging and building connections are done by the venue. Venue rules that shape your stand design in UAE

Custom stands fail approval most often on height, fire class of materials, rigging and electrics. These are the rules the venues publish:

Dubai World Trade Centre (DWTC)

• Full design details of double-decker stands and unusual structures must go to the DWTC Event Planner; designs must be approved and signed by the DWTC Structural Engineer and Health and Safety.
• Materials and drapes must be treated to be fire retardant in accordance with NFPA 701.
• The DWTC Event Services Department is the sole provider of top and primary rigging; concourse stands are limited to 4 m with no double-deckers.

ADNEC Centre Abu Dhabi

• Only ADNEC's authorised representatives may fix to or penetrate the building fabric, structure or floors.
• Suspended stand fittings are not permitted; ADNEC may allow banners, lighting or decorative items to be hung from the hall roof, installed by ADNEC or its rigging contractor.
• Halls 1–11 have a ceiling height of 9.5 m to the underside of the beam or truss.

Rules can differ per show: the organiser's exhibitor manual for your fair always takes precedence. We read that manual before the first design sketch, not after.

Shipping a stand from Istanbul to UAE

Customs framework: Dubai Customs requires all incoming exhibition goods to be declared on arrival; under the normal procedure they are charged 5% of their CIF value and need the original invoice, certificate of origin, packing list and a participation letter from the organiser. Goods imported under an ATA Carnet follow the carnet procedure instead, without bonds, customs duty or taxes. (Dubai Customs – exhibition goods)

Exhibits that go back home: An ATA Carnet allows temporary import and export of goods without duties or taxes for up to one year. Planning timeline for a custom stand in UAE

1. 20–16 weeks before: book space, send us the floor plan and stand number; we propose a design and budget.
2. 16–12 weeks before: final design, structural details, material list with fire certificates; check the show manual for contractor registration and labour rules.
3. Drawing deadline (set by the venue/organiser – see the rules above): submit stand drawings; order electricity, rigging and other venue-reserved services through the appointed contractors.
4. 12–10 weeks before: production and pre-assembly in Istanbul.
5. 10–4 weeks before: sea or air freight with the customs documents; the shipping date is fixed first because ocean transit takes several weeks.
6. Build-up days: installation with the venue-appointed partners, final check with you before opening.
7. After the show: dismantling and return shipment of carnet goods before the carnet expires.
