Exhibition Stand Builder in Canada
Custom exhibition stands for the Metro Toronto Convention Centre, Enercare Centre, Vancouver Convention Centre and Calgary's BMO Centre – designed and built in Istanbul and prepared for Canadian venue fire and rigging rules.
Building an exhibition stand in Canada: venues and rules
Stands in Canada must follow venue fire rules – at the Metro Toronto Convention Centre display fabrics must meet CAN/ULC-S109 or NFPA 701, and two-storey booths need special approval from MTCC and the City of Toronto. Rigging at MTCC, Vancouver and Calgary's BMO Centre is done only by each venue's appointed supplier, and Canada accepts ATA Carnets for temporary imports. VAV Grup designs and builds custom stands in Istanbul to these rules.

Venue rules that shape your stand design in Canada
Custom stands fail approval most often on height, fire class of materials, rigging and electrics. These are the rules the venues publish:
Metro Toronto Convention Centre
- All display textiles must meet CAN/ULC-S109, NFPA 701 or an equivalent standard; other materials must be noncombustible or flame-retardant.
- Two-storey or double-deck booths require special approval from MTCC and the City of Toronto; raised floors are limited to 6 inches (15 cm).
- SHOWTECH Production is the exclusive labour broker for rigging attached to the building's structure.

Vancouver Convention Centre
- Rigging is exclusive to the centre and provided by Riggit Services Inc.; rigging plans are due at least 15 business days in advance.
- Multi-storey booths need an engineered drawing, subject to approval.
- Forklift operators are available only through the Vancouver Convention Centre.

BMO Centre at Stampede Park (Calgary)
- All booth materials must be noncombustible or flame-retardant under Calgary Fire Department requirements and may be tested at any time.
- Encore is the exclusive staging and rigging provider; hanging signs over 40 lbs must be installed by Encore.
- Only BMO Centre-certified operators may run forklifts and manlifts; exhibit floor plans must be approved in advance.

Rules can differ per show: the organiser's exhibitor manual for your fair always takes precedence. We read that manual before the first design sketch, not after.
Shipping a stand from Istanbul to Canada
Customs framework: The Canada Border Services Agency (CBSA) states that Canada is a signatory to the international ATA Carnet Convention for the temporary admission of goods. The Canadian Chamber of Commerce is Canada's national guaranteeing organisation, and a carnet is valid for up to one year from issue. (CBSA – Trade incentive programs; CBSA Memorandum D8-1-7 – ATA Carnets)
Exhibits that go back home: Carnet goods must be re-exported; if they leave after the expiry date, duty and taxes apply and are non-refundable. Goods for sale, lease, processing or repair and consumables such as food or giveaways cannot go on a carnet and need a regular customs entry. (CBSA Memorandum D8-1-7)
Planning timeline for a custom stand in Canada
- 20–16 weeks before: book space, send us the floor plan and stand number; we propose a design and budget.
- 16–12 weeks before: final design, structural details, material list with fire certificates; check the show manual for contractor registration and labour rules.
- Drawing deadline (set by the venue/organiser – see the rules above): submit stand drawings; order electricity, rigging and other venue-reserved services through the appointed contractors.
- 12–10 weeks before: production and pre-assembly in Istanbul.
- 10–4 weeks before: sea or air freight with the customs documents; the shipping date is fixed first because ocean transit takes several weeks.
- Build-up days: installation with the venue-appointed partners, final check with you before opening.
- After the show: dismantling and return shipment of carnet goods before the carnet expires.
How VAV Grup delivers stands here
We are an independent stand contractor, not an official venue supplier. Your stand is designed and manufactured in Europe – in our factory on the European side of Istanbul – and shipped to Canada; on site, installation is coordinated with the services the venue reserves for itself (mains electricity, rigging, sometimes floor plans). One project lead keeps the drawings, material certificates, transport and build-up schedule in one plan. Send the fair name, hall and stand number, stand size and deadline and we reply with a project-specific scope and quotation.
Facts on this page were checked against the official venue, organiser and government sources linked above on 27 September 2026. Figures are the venues' own; we do not claim past projects at every venue listed.
