Short answer: Poland's main fair venues – MTP Poznań Expo, Ptak Warsaw Expo, EXPO XXI Warsaw and Targi Kielce – publish technical regulations covering plan approval deadlines (10 days at MTP, 21 days at Ptak Warsaw Expo, 14 days at Targi Kielce), signed static calculations for taller or two-storey stands and fire-rated materials. Poland is in the EU, so industrial stand materials from Türkiye move under the EU–Türkiye Customs Union with an A.TR certificate. Venue rules that shape your stand design in Poland

Custom stands fail approval most often on height, fire class of materials, rigging and electrics. These are the rules the venues publish:

MTP Poznań Expo

• No later than 10 days before build-up starts, the stand contractor must submit two copies of the draft construction plans to MTP (Technical Coordinator) for review.
• Stands or structures exceeding 3.5 m in height need static and structural calculations, or a stability statement, signed by a holder of a building licence.
• Two-storey stands: each storey at least 2.4 m high, the upper storey no more than 60% of the ground-floor area; only non-flammable, flame-resistant or flameproofed materials may be used.
• At the Poznań Congress Center the height of stands and other structures must not exceed 3 m.

Ptak Warsaw Expo

• Before build-up, the exhibitor must submit the technical stand project with floor plans and a visualisation for approval no later than 21 days before the first build-up day.
• The exhibitor or its contractor must present certificates confirming the use of non-flammable, flame-retardant or fire-protected materials.

Targi Kielce

• Stand designs must be submitted for verification no later than 14 days before the official start of build-up.
• Stand height must not exceed the permitted construction heights for the particular location; two-storey stands need static and strength calculations signed by a person with construction qualifications, with a minimum upper-floor load of 2.5 kN/m².
• Suspension from the ceiling structure is not possible in halls 1–4 and 8; in halls 5, 6, 7 and 9 it is possible after consultation with the TK Technical Team.

Rules can differ per show: the organiser's exhibitor manual for your fair always takes precedence. We read that manual before the first design sketch, not after.

Shipping a stand from Istanbul to Poland

Customs framework: Poland is an EU member state. The European Commission's Access2Markets portal says the EU–Türkiye Customs Union has been in force since 1995 and covers industrial products and processed agricultural products; goods moving within the customs union need proof of customs status established by an A.TR movement certificate. The European Commission announced that from 8 July 2024 EU member states accept A.TR certificates issued electronically by the Turkish authorities with a QR code and no wet-ink signature. Planning timeline for a custom stand in Poland

1. 16–12 weeks before: book space, send us the floor plan and stand number; we propose a design and budget.
2. 12–8 weeks before: final design, structural details for double-deck or rigged elements, material list with fire certificates.
3. Drawing deadline (set by the venue/organiser – see the rules above): submit stand drawings for approval; order electricity, rigging and other venue-reserved services.
4. 4–2 weeks before: production and pre-assembly in our Istanbul factory, then road or sea freight with the customs documents.
5. Build-up days: installation, electrical connection by the venue's contractor, final check with you before opening.
6. After the show: dismantling, return shipment or storage of reusable parts.
